Obtaining documents and printouts from registers
Official registry data via a notary
If you need official confirmation of data relating to a registered immovable, a company or any other entity or asset entered in a court register, a notary can assist you in accessing the register’s records and issue a certified printout.
About the notarial act
The data and documents entered in the registers may be required, for example, to verify details of a registered immovable, a company, a non-profit organisation, a foundation or any other person or entity entered in the register. You can contact a notary if you wish to view the information in the register or obtain an officially certified printout.
A notary may release data and documents from the following registers:
- Land Register;
- Ship Register;
- Commercial Register;
- Register of Non-profit Associations and Foundations;
- Commercial Pledge Register.
How can I view the data?
You must submit a written request to the notary to view registry data or obtain a printout. The request may also be sent by email. If you wish to receive the document digitally certified and sent electronically, the request must be digitally signed.
Please include the following details in your request:
- the requestor’s first name and surname, or the name of the legal entity;
- the requestor’s personal identification or registry code;
- the requestor’s contact details;
- data of the registered immovable (address, registry part number) or details of the sole trader, legal person or branch of a foreign company (business name or name, registry code);
- justification regarding the existence of a legitimate interest;
- the manner and time of viewing the data.
The notary checks the submitted request, allows the requestor to view the registry data, or issues a certified printout of the requested data or document, either on paper or in digital form.
Accessing files free of charge
Anyone can view the public file of a non-profit organisation and the commercial file of a company free of charge. This can be done at four notary’s offices in Tallinn, Tartu, Pärnu and Jõhvi.
Data can be viewed free of charge at the following notary’s offices:
- Office of Tallinn Notary Mall Vendel – Pääsukese tn 2 / Tartu mnt 10, Tallinn;
- Office of Tartu Notary Tiina Tomberg – Kaluri 2, Tartu;
- Joint Office of Pärnu Notaries Marje Jürioja, Kristi Kivimägi and Kaia Krüger – Ringi 1, Pärnu;
- Office of Jõhvi Notary Ülle Mesi – Keskväljak 7, Jõhvi.
Accessing files for a fee and issue of printouts
If access to the registry data or a document in a file is not covered by the free access option or if you wish to obtain a certified printout of the registry data or document, you have to pay the notary fee. When a printout is made, a fee for making the printout in the amount of 22 cents per page will be added.
